Part-time Receptionist / Administration Assistant
We are seeking to appoint a new member to join our happy and successful office team.
This part-time role is suited to an experienced person who can provide excellent support, contributing to the smooth running of the of the school office.
This role would ideally suit a flexible and proactive individual who has natural inter-personal skills and who enjoys real variety in work tasks.
We require someone with excellent organisational skills, who can cope with the demands of a busy school and who has confidence in the use of computer programmes such as Word, Excel and SIMS.
Crucially, we require someone who can take initiative, yet work as part of the team with a friendly and enthusiastic approach willing to train in aspects of the role as required.
This role is term-time only work, with 20-24 hours per week arranged through discussion with the Headteacher and Office Manager. The Pay Range is on VIAT 2, scale according to experience. It is a permanent role.
Job Purpose:
- To welcome and support pupils, parents, visitors, reflecting our school ethos and values.
- To deal with enquiries in a timely and efficient fashion.
- To support the Office Manager through a range of specific tasks to ensure the responsive and creative support for pupils, staff and parents, prioritising workload effectively.
- To support the senior leaders to achieve the school improvement goals.
Essential skills
- Ensuring visitors are warmly welcomed and have had relevant health and safety information provided.
- Ensure safeguarding standards are upheld.
- Answer the phone and monitor office email and school diary.
- Assist with attendance; leading on the swift and regular monitoring of absence and punctuality, contacting families, sharing information with leaders, and creating reports to share with the Headteacher and Governors.
- Use school systems to communicate with staff, parents and professionals using programmes such as Word and Excel.
- Lead on the admissions process. Use SIMS to admit pupils, create reports to share with the Office Manager, Headteacher, Trust and KCC.
- Support the Senior Leadership Team with preparation for Open Days and other special events.
- Maintaining pupil contact files and yearly parental consent forms.
- Ensure all pupils and parents have full access to all log-ins, homework and relevant information pertinent to their year group.
- Liaise with nurseries to promote the school and plan for the successful start to school for pupils entering EYFS. Link with the PTA to purchase resources for pupils to become ‘school-ready.’
- With teaching staff, promote an effective secondary transition, including additional visits for pupils with SEND.
- Manage the organisation of extra-curricular events such as clubs, off-site lessons such as swimming, trips and visits and sporting fixtures. Link with key leaders in school and across the Trust to do this.
- Monitor and contribute to marketing of the school, contributing to social media posts.
- Liaise with the kitchen staff to keep up to date with menus, meal numbers, pupil needs, events, theme days etc.
- Willing to train in First Aid.
- Logging first-aid and medical records and keep medicines safe, administering medicines according to instructions. Ensure parents complete Health Care Plans where required.
Desirable skills
- A willingness to engage with Continuing Professional Development pertinent to the role and attend meetings in to advance the smooth running of the office.
- The desire to work creatively when making and using resources to help children learn.
Qualifications
- Administrative Assistant experience and qualifications are ideal, but not essential for the right candidate.
- Experience/secure understanding of how to support pupils with social and emotional difficulties.
